How to Get Started
with ShopSupplier

Everything you need to register your shop, upload products, and start getting discovered by customers on Google Search — step by step.

Create Your Account (Register) For first-time suppliers — takes about 2 minutes

Step 1 — Open ShopSupplier and click Register

Visit the ShopSupplier website. You'll see two tabs at the top of the login card: Login and Register.

Click the "Register" tab to begin.

💡 You can also sign up instantly with your Google account — click "Sign up with Google" to skip the form.

Step 2 — Fill in your details (Step 1 of 2)
  • Full Name — your name or shop owner's name (e.g. Thoiba Kumar).
  • User ID — a unique ID for your shop (e.g. thoiba_shop). Only letters, numbers, and underscores allowed. No spaces.
  • Gmail / Email — used for password reset. Make sure it's correct.
  • WhatsApp Number — 10-digit Indian number. Customers will order here.

Click "Continue →" to proceed to Step 2.

Step 3 — Set password and enter Activation Code
  • Password — minimum 8 characters. Watch the strength bar — aim for "Strong ✓" (green).
  • Confirm Password — re-enter the same password.
  • Activation Code — required to activate your shop. Click "💬 Get Code" to send a WhatsApp request to our team. We confirm your details, you complete payment, and we send the code.
⚠️ The Activation Code is required — your shop cannot be created without it. Each code is single-use.
Step 4 — Agree and create your shop

Check the GST & Compliance agreement box — this confirms you understand ShopSupplier is a catalogue platform and your own sales and tax liabilities remain your responsibility.

Click "Create My Shop 🎉". Within a few seconds you'll be taken to your Admin Panel (dashboard).

🎉 Congratulations! Your shop is live. Now let's add your products.

Log In to Your Shop Whenever you want to manage your catalogue or orders

Login with User ID and Password

Open ShopSupplier → click the Login tab → enter your User ID and Password → click "Sign In".

You will be taken straight to your Admin Panel.

🔒 Security lock: After 5 failed login attempts, your account is locked for 30 minutes. Be careful entering your password.

Login with Google

Click "Continue with Google" on the Login panel. If you registered with Google, you'll be signed in instantly. If no account is found, you'll be redirected to Register.

Switch Dark / Light Mode

Click the 🌙 button in the top-right corner to switch between dark and light themes. Your preference is saved automatically.

Set Up Your Shop Settings Do this first — required for orders and billing

Go to Admin Panel → Shop Settings

In the sidebar of your Admin Panel, click ⚙️ Shop Settings.

Fill in your shop details
  • Shop Logo: Click "📷 Change Logo" to upload your shop's logo — shown in your public catalogue.
  • Shop / Supplier Name: e.g. "Thoiba General Store" — appears in your catalogue and bills.
  • WhatsApp Number: The number where customers' orders will arrive. This is critical — double-check it.
  • Shop Address: Your full address — printed on invoices.
  • GST Number: Enter if you have one, otherwise leave blank.
⚠️ Wrong WhatsApp number = no orders. Make sure this is correct before saving.

Configure Shipping Charges

In the Shipping section you can set:

  • Minimum Shipping Charge — default ₹120, customisable.
  • Extra Charge per kg — default ₹60/kg, customisable.
Shipping = Minimum + (Product Weight × Rate per kg)

Example: 2 kg order → ₹120 + (2 × ₹60) = ₹240

💡 This is why adding Weight (kg) to every product is important — shipping is calculated automatically at checkout.

Save your settings

Click "💾 Save Settings". A green success message confirms your settings are saved.

Upload Your Products Single mode and Bulk mode — choose what works for you

Single Product Upload — one product at a time

Sidebar → ⬆️ Upload Products → click "📷 Single Product".

  • Tap the + image slots to select 1–5 photos. The first photo is your Main Image (shown with a MAIN badge).
  • Enter Product Name (e.g. "Cotton Kurta Blue").
  • Fill in Price (₹), Quantity (how many in stock), and Weight (kg).
  • Select a Category and write a Description (up to 500 characters).
  • Click "💾 Save Product". A progress bar shows the upload status.
🖼️ Auto Compression: Large images are automatically compressed before uploading — saves your data and storage.

Bulk Upload — add many products at once

Click "📦 Bulk Upload". This works in 3 stages:

  • Stage 1 — Select all photos:
    Tap the drop zone and select all product photos at once — mix them freely.
  • Stage 2 — Group into products:
    Tap the photos that belong to one product to select them (✓ appears) → click "Group Selected as 1 Product". Repeat for each product. Grouped images show a P1, P2 badge and turn grey. You can Ungroup if needed.
  • Stage 3 — Fill details and save:
    For each group enter Name, Price, Qty, Weight, Category, Description → click "💾 Save All Products".
📱 On mobile, tap-to-select works great — no drag and drop required.

Draft System — your work is never lost

If the page closes or you navigate away mid-upload, your progress is saved as a draft. Next time you open the Upload page, an "📝 Unsaved Drafts" section appears.

Click "Restore & Continue" to pick up exactly where you left off.

Manage Your Products Edit, delete, search — all from one place

Find products quickly

Sidebar → 📦 Manage Products. Use the search bar to find by name, or sort by Name A–Z, Price ↑↓, or Newest First.

Edit a product

Click "✏️ Edit" next to any product. A popup opens where you can update:

  • Name, Price, Quantity, Weight, Category, Description — any field.
  • Photos: Click "🖼️ Choose New Image" to replace a photo. The old one is deleted from storage automatically.

Click "💾 Save Changes" when done.

Delete a product

Click the 🗑️ button next to a product → confirm the deletion. The product and all its photos (up to 5) are permanently removed from storage.

⚠️ Deleted products cannot be recovered. Make sure before you confirm.

Share Your Catalogue Link Reach customers on WhatsApp, Instagram, and Google

Find your Catalogue Link

Your Catalogue Link is shown at the top of your Admin Panel Dashboard. It looks like:

Two buttons are available:

  • 📋 Copy — copies the link to your clipboard.
  • 📤 Share — opens WhatsApp with the link pre-filled.

Where to share your link
  • WhatsApp: Send to existing customer groups or individual contacts.
  • Facebook: Post on your page or personal profile.
  • Instagram Bio: Add as your link-in-bio.
  • SMS: Text new leads directly.
🔒 Your catalogue link shows only your products — no other supplier's data is ever visible.

Google Search — customers find you automatically

ShopSupplier automatically adds Product Schema markup to every product in your catalogue. This structured data tells Google the product name, price, and availability — the same technology used by major e-commerce platforms.

Google typically indexes new products within a few days to a few weeks. Once indexed, buyers searching for what you sell can discover you without you sharing any link.

Customer Experience (What Buyers See) No app download needed — works in any browser

Your catalogue page
  • Your shop name and logo appear at the top.
  • A sticky search bar stays visible while scrolling — customers can search by name or category.
  • Products display in a 2×2 grid on mobile and 4×3 grid on desktop — image, name, price.
  • When Quantity is 0, an "Out of Stock" badge appears automatically.

Product detail view

Tapping a product opens the full detail view:

  • Photo Gallery: Swipe, tap arrows, or tap thumbnails to browse all photos. A counter (e.g. 2/5) is shown.
  • Price, Weight, Stock, Category — clearly displayed.
  • Description (up to 500 characters).
  • Quantity Selector (− / +) to choose how many to order.
  • "🛒 Add to Cart" and "⚡ Buy Now" buttons.
  • Related Products from the same category shown below.

Cart and Checkout
  • Customers can add multiple products to cart and adjust quantities.
  • Cart Summary shows: Subtotal + Shipping = Total — calculated automatically.
  • A floating Cart button stays at the bottom of the screen for easy access.
  • Click "Proceed to Checkout" to enter delivery details.
Auto-fill: On return visits, the customer's name, address, and phone number are filled in automatically from their last order — a faster checkout experience.

Orders and Invoices From customer placing an order to you receiving it on WhatsApp

How a customer places an order

After filling in their delivery details, the customer taps "📲 Place Order via WhatsApp". This does three things simultaneously:

  • The order is saved to your Firestore database.
  • A formatted WhatsApp message is sent to your WhatsApp number — with customer name, address, all items, shipping, and total amount.
  • A PDF invoice is automatically downloaded to the customer's phone.
📱 The WhatsApp message arrives fully formatted with Order ID, item list, and total — clear at a glance.

What the PDF invoice contains
  • Your shop name, address, WhatsApp number, and GST number.
  • Customer's name, address, pincode, and phone.
  • Order ID and date.
  • Each item: name, quantity, unit price, and line amount.
  • Subtotal + Shipping = Total.
  • Order status: ⏳ Pending or ✅ Completed.

View and manage orders in Admin Panel

Sidebar → 🛒 Orders → see all orders in a list. Each order shows:

  • Order ID, date, customer name, address, phone.
  • Full item list and total amount.
  • Status: ⏳ Pending → click "Mark Complete" → ✅ Completed.
🔔 Your Dashboard always shows the count of Pending Orders — so nothing slips through.

View any past invoice via link

Any invoice can be reopened using a direct URL:

bill.html?order=ORDER_ID&supplier=SUPPLIER_ID

From that page you can Print or Download as PDF.

Forgot Your Password? Reset via your registered email — quick and secure

How to reset your password

On the Login page, click "Forgot password?". You'll be asked to enter your User ID.

  • Enter the User ID you created during registration.
  • Click "Send Reset Link".
  • A password reset link is sent to your registered Gmail / email address.
  • Open the email, click the link, and set a new password.
📌 Didn't receive the email? Check your Spam / Junk folder. The reset link expires after 1 hour.
🔒 After 5 failed attempts on the forgot password page, it locks for 30 minutes.
